These Terms and Conditions apply to all Birdwings Forest School programs, events, and bookings. By completing a booking, participants (or parents/guardians for children) agree to these Terms.
1. Definitions
- Birdwings Forest School / Birdwings: Operated by Greystone Farm Pty Ltd & Lavendilly House Pty Ltd
- Staff / Mentor: Paid personnel holding a Blue Card, First Aid, and relevant child protection training
- Volunteer: Approved supporting persons (e.g. students, parents) holding required clearances and First Aid where applicable
- Participant: Any person attending a Birdwings program or event
- Child: Participant under 18 years of age
- Booking: Confirmed enrolment with full payment and acceptance of these Terms
2. Participation, Nature-Based Risk & Behaviour
Birdwings programs take place in natural outdoor environments and involve inherent risks, including uneven terrain, weather exposure, water, bushwalking, climbing, tool use, and interaction with natural elements. Risks may include injury, illness, insect or animal exposure, and environmental hazards. By participating, you acknowledge and accept these inherent risks. Participants are expected (within developmental capacity) to follow safety agreements, respect self, others, staff, environment, and property, and behave safely at all times. Where a participant is unable to consistently maintain safe behaviour, Birdwings may refuse attendance without refund. Risk-benefit assessments are in place and guide all program delivery.
3. Health, Medical Information & First Aid
Participation is conditional on accurate information being provided at booking. You agree to disclose all relevant medical, developmental, behavioural, dietary, or support needs, provide required medication and management plans, authorise staff to administer first aid, and authorise emergency medical treatment and ambulance transport (at participant cost if required). Participants must not attend if unwell or showing symptoms of communicable illness (including fever, vomiting, diarrhoea, rash, or infectious disease symptoms within the previous 48 hours). Attendance may be refused if symptoms arise during a session.
4. All-Weather Outdoor Programs
Programs operate in all weather conditions unless deemed unsafe according to the BOM Severe Weather Alerts. Participants will engage in outdoor play in all conditions and may become wet or dirty. Appropriate clothing and equipment are required, as listed in each program booking email. Birdwings may cancel or modify programs due to weather or safety concerns, and early collection may be required for children. No refunds apply where participants are unable to attend due to unsuitable clothing or equipment.
5. Clothing & Equipment Requirements
Participants must bring water only (no glass bottles), suitable food for outdoor conditions, hat, sunscreen, insect repellent, weather-appropriate clothing including rain protection, closed-toe footwear (no thongs, crocs, sandals, or open shoes), and spare clothing with wet bag. Failure to meet requirements may result in exclusion from activities without refund.
6. Bookings, Payments & Refunds
Bookings are confirmed only upon full payment. Cancellations for casual programs are accepted up to 5 days prior to the event with a $20 service fee. No refunds apply within 5 days of a session, for non-attendance, or early collection. No refunds apply for missed sessions in multi-booking programs. Full refunds apply if Birdwings cancels the program.
7. Supervision, Conduct & Safety
Birdwings maintains active supervision and appropriate staff-to-participant ratios. We reserve the right to remove participants whose behaviour compromises safety or requires early collection without refund.
8. Arrival & Departure
Participants will only be released to authorised adults. Identity verification is required at collection. Written authorisation is required for changes to collectors. Staff remain on site until all participants are collected.
9. Photography & Media
Birdwings may capture images and video for documentation, education, and promotional purposes. By booking, you consent unless otherwise advised in writing. Media may be used across website, social media, and promotional materials. Families may only share images of their own child. Consent may be withdrawn in writing at any time.
10. Biosecurity & Site Conditions
Our sites operate on farmland and may include livestock. Biosecurity requirements apply, including travel-related restrictions where relevant (Indonesia). Participants must follow all site instructions.
11. Communication & Notices
Any medical considerations, safety concerns, or exceptions to these Terms must be provided in writing prior to attendance.
12. Acceptance of Terms
Booking and attendance confirm acceptance of these Terms and Conditions.
13. Updates
These Terms may be updated periodically to reflect operational, legal, or safety changes.
